Sirius Totaldocs (Electronic Document Repository)

To archive your documents in different formats (Word, Excel, Outlook Express, Corel Draw, etc.) and scanned images (BMP, TIFF, GIF, JPG, etc..) within a database and retrieve them at any time from any location that has access to the Internet or Intranet, Sirius has developed the Sirius Totaldocs.

The main features of the system are:

• The user access by the web, this means that no matter where the user is that if he has access to the Internet, he will can access the Totaldocs with your username and password and manage your documents.

• Any type of document may be archived, such as, scanned documents (images) files. DOC,. XLS,. PDF etc. may be stored in the system for later retrieval.

• The recovery can be done using keywords defined when the document is archived and / or by words contained in the document text.

• It has a visual interface similar to Windows Explorer turning easy the management of folders and documents.
  
  
   

• Users are registered by the administrator with personal features with or without access restrictions to some of the facilities that the system offers, such as:
  - Create new users with access to one or more sectors
  - Create sectors within the company
  - Delete / Change documents
  - Access to documents classified as confidential
  - Set temporality of documents
  - Sending documents by e-mail
  
  

• The system offers the ability to edit messages and sent via e-mail

• Allows to control concurrent access to the same document for change.

• Documents can be deleted automatically by the system after expiry of the deadline set in the option of temporality in the document registration phase.

• Documents retrieved can be sent by e-mail to user-defined recipients.

• All information entered in the database system and the documents themselves are optionally encrypted using a 128-bit algorithm.

• Dynamically informs disk space occupied by the system.

• The system can be installed on the user environment (hosting in-house) or hire the services from Sirius that has a hosting system, providing infrastructure and services for the operation under 24x7x365.

• It has tool to make uploading large amounts of scanned documents with their keywords that turns easy the production process of archiving documents.

• Optionally the system can run the Format Printing System to perform the composition on demand for a particular document and submit it in PDF format or generate a spool printer language file.

• This feature of the Sirius Totaldocs is very important for applications in which the composed documents in PDF format take up considerable disk space. As an example we can mention a telephone bill which occupies 10 KB per formatted page as PDF file while a TXT occupies 0.5 MB in the database.
